Privacy Policy TaalTafels
TaalTafels registers students’ personal data to enable and facilitate the provision of lessons and related activities. We safeguard your privacy by strictly adhering to the General Data Protection Regulation (GDPR). This policy explains how we handle the personal data of students. TaalTafels informs employees and students of the existence of this policy.
Article 1: Definitions Student: a person who has enrolled at TaalTafels for a course. Students who have unenrolled or completed their course are also included. Employee: any person working for TaalTafels, whether employed, freelancing, or volunteering. DUO: Dienst Uitvoering Onderwijs (Education Executive Agency) Processing of information and personal data: consulting, collecting, supplementing, deleting, modifying, and sharing data. GDPR: General Data Protection Regulation UAVG: Dutch Implementation Act of the General Data Protection Regulation Third parties: organizations and individuals not employed by TaalTafels.
Article 2: Scope of the policy The management of TaalTafels is responsible for the implementation and compliance with the GDPR and UAVG.
This policy applies to all personal data processed by TaalTafels. It applies to all current and former students.
Article 3: Purpose of data registration The purpose of data registration is to obtain all information necessary to fulfill the objectives of a language and integration company.
The following purposes and situations may require the processing of personal data:

Enrollment in and termination of a course

Registration with DUO to obtain a loan under the Civic Integration Act

Registration of contracts with DUO for hours administration

Participation in satisfaction surveys

Other purposes, provided the student has given explicit prior consent
Article 4: Security TaalTafels makes every effort to ensure that student data is accessible only to authorized and relevant individuals. Necessary measures are taken to prevent the loss or theft of data:

Paper documents and files are stored in locked cabinets.

Digital data is stored on secured hard drives.

The automated system is password-protected. All mentioned storage methods are accessible only to authorized employees. Only these employees have access to passwords and keys. All individuals authorized to process personal data are bound by a confidentiality obligation.
Article 5: Types of data collected and consent The following data is collected:

Name, address, and place of residence (NAW data)

Gender

Telephone number and email address

Citizen service number (BSN)

Type of integration requirement and integration date

Contact details of third parties and contact persons

Personal information relevant for determining education level and experience (country of origin, education, profession, etc.)

Medical information, if relevant In addition, during the course, progress and evaluations are also processed.
All of the above data is obtained and stored with the student’s explicit consent. If it is necessary to share data with third parties relevant to the course, this will only occur after the student has given consent.
The student has the right to access their stored personal data and can submit a request for access to the management of TaalTafels.
Article 6: Retention period of personal data All stored personal data will be retained for a maximum of seven years after the end of the course, unless the student has explicitly given permission for a longer retention period, or unless a legal obligation dictates otherwise.
Article 7: Sharing information with third parties If necessary, relevant information may be shared with third parties. These third parties will be informed by TaalTafels of the conditions and restrictions regarding the processing of personal data.
Information may be shared with the following parties:

Clients and referring organizations such as DUO, municipalities, or educational institutions

Organizations requiring information for issuing certificates and quality marks

Article 8: Disclosure of the policy TaalTafels informs employees and students of the existence and location of this policy.
Upon signing their first contract with TaalTafels, a reference will be made to the policy, which is available on the TaalTafels website.
Employees, whether employed or contracted as freelancers, will be personally informed of this policy and will receive it by email. This always takes place before they commence any work that may involve access to students’ personal data.
